It is essential, that when money
is involved,
that any transactions
made should be as transparent to the list as possible while not
creating
too much work. It should also be made clear
who has responsibility for putting in and taking out money from the
bank. A treasurer's bank account
needs more than one signature and it is worthwhile having a
third and possibly fourth signatory in case one of the others leaves.
To get a bank account we
therefore need three
signatories, The Press Officer, Bookkeeper and Third Signatory. The
signatories must be able to prove their identity and
address to the
bank and to the list. This information will be shared with the other
signatories.
We will also need a Certified Copy of Resolution. This can be passed using the Trawling method on the EdLUG mailing list. A No Objections vote for setting up a bank account and a proposal of signatories. The resolution will be passed when it appears in the EdLUG Archive. Once the bank account has been set up then the Bookkeeper should set up a ledger, the main ledger account being for EdLUG(Outreach), one for EdLUG and a petty cash ledger.
